Wi-Fi is the utility every other system quietly assumes, and the one most often sized for a different event than yours. The failure mechanisms are physical, predictable, and negotiable in advance.

When event Wi-Fi fails, it takes the rest of the stack with it: check-in stations stop syncing, the app stops refreshing, the payment terminals in the pop-up store go down, and the exhibitors start tethering, which makes everything worse in a way covered below. The failures are not mysterious. They are radio physics plus contention, and both can be planned for.

Why show-floor Wi-Fi fails

Wi-Fi is a shared medium: every device on a channel competes for airtime, and the channels are few. A show floor concentrates thousands of radios (phones, laptops, badge scanners, demo hardware, smart signage) into a space the venue's installed access points were sized to cover, not to serve at that density. Coverage and capacity are different properties; the bars on your phone report the first and say nothing about the second.

Density is compounded by interference. Every exhibitor booth that brings its own router or fires up a personal hotspot adds another radio shouting on the same channels. Past a threshold, the airtime lost to collisions and retransmissions means everyone's throughput collapses, including the interferers'. This is why professional show networks are engineered: many low-power access points, careful channel planning, and rules about rogue radios.

One rule has a legal boundary worth knowing. Venues may not solve the interference problem by force. The FCC has been explicit that intentionally blocking or deauthenticating personal hotspots is illegal, after enforcement action against a hotel and convention operator that did exactly that; see the FCC's enforcement advisory on Wi-Fi blocking. A venue can prohibit hotspots in your license terms and enforce them as a contract matter; it cannot jam them. If a venue's network pitch includes "we shut down rogue hotspots automatically," ask precisely what that means.

Dedicated SSIDs, and what to order

Attendee Wi-Fi and production Wi-Fi must not share fate. Order separate networks: a dedicated SSID with reserved bandwidth for operations (check-in, registration desk, payment, staff), separate provision for streaming and production, and the general attendee network as the third, lowest-priority tenant. Anything fixed and critical (check-in stations, the stream encoder, the audio console's control surface) should be wired; every device you take off the air is airtime returned to everyone else.

When you order, specify in writing: dedicated bandwidth, not "up to" shared bandwidth; expected device counts by area; and support presence during your show days. Venue connectivity is quoted by the venue or its exclusive provider, pricing varies enormously by building, and the only way to a real number is to put your requirements in the RFP and make the quote itemize what is guaranteed.

Bandwidth arithmetic

The arithmetic is worth doing yourself, roughly. A badge scan is a few kilobytes; even an aggressive check-in peak is trivial bandwidth, and what scanning actually needs is reliability and low latency, not throughput. A single high-definition video stream is several megabits per second, sustained, in the upload direction, which is the direction venue networks provision least. A thousand attendees idly syncing phones consume more than your entire operations network. This is why the streaming uplink should never ride the attendee network, and ideally rides a wired, dedicated circuit with a stated committed rate.

The planning consequence: list your must-not-fail flows (check-in sync, payments, stream uplink, show control), estimate each honestly, and buy guarantees for those. Attendee Wi-Fi can degrade gracefully; the stream cannot.

Before you sign

Ask the venue: who operates the network, what was the largest event served at your target density, what is included versus billed, and what the escalation path is on show day. Get the operations SSID, bandwidth commitments, and wired drops into the order early, on the same timeline as power and rigging, because network provisioning at a venue moves on paperwork, not on urgency.
